Terms and Conditions
Please have a read through of our booking Terms and Conditions. They contain information on our cancellations policy, lateness policy, fees and charges and much more. Every booking made at the Yaxley Out of School Club is subject to these terms, so by booking your child in with us, you are accepting that you have read and agreed to the below terms.

ABOUT US
Conditions of Booking
By booking in with the Yaxley Out of School Club, you agree to make your bookings by the allotted cut of date stated on each booking form. Failure to do so may result in a late booking fee of £5 charged at the discretion of the club. The cut off date will be clearly stated on each form, and the form will be available a minimum of two weeks before the first date available to book on the form.
Minimum Booking Fees
There is a minimum booking of 10 hours per child, per month. You can book and use the full 10 hours, or if you choose not to, a minimum booking fee will be added to your invoice covering the amount of hours to bring your booking up to 10 hours. For example, if you book 8 hours per child, a fee of 2 hours at the current hourly rate will be added to your invoice (per child).
Late Bookings
Any bookings made after the cut off date stated on the form may be subject to the late booking fee of £5, and will be accepted subject to availability. As always, we will try to help you where possible, and if you have any questions that need urgently answering, please speak to the Manager/Deputy Manager at the club directly.
Cancellations Policy
Once a booking has been made and the booking form has reached the cut-off point and been closed, cancellations are no longer possible. This is because our registers and staffing levels have already been done, and we will need to have the same amount of staff, regardless of how many children we have. Cancellations also don't allow us enough time to give the space to another child. Amendments (including date swapping) may be made, which will be at the discretion of the club.
For holiday club bookings, once you've booked, there is no guarantee we will be able to cancel your booking. But we will do our best to accommodate changes of times/dates where possible.
Payment of Fees
By booking your child in at the Yaxley Out of School Club, you are agreeing to pay for your childcare on the date specified on your invoice, or at the latest the first day available to be booked on the form. We understand that this isn't always possible, so if you have any issues with this, please contact a member of the team who will be able to make allowances on a case by case basis.
Absences/Failure to Attend Booking
Unfortunately, we do not offer refunds or account credit for absences of any kind, including sickness (except for extenuating circumstances, which will be decided on a case by case basis). This is due to the fact that short notice cancellations do not allow time to rebook children into the spaces created.
Account Crediting and Refunds
We do not offer monetary refunds under any circumstances. We do however offer account credits at the Manager's discretion.
Clubs and Extracurricular Activities
When your child is attending a club facilitated by the school, you will be able to book an hour slot, which will start at the end of the club your child is attending and end exactly one hour later. For example, if the club finishes at 4.15pm, your slot will be until 5.15pm. If for any reason the club is cancelled, you will need to pick your child up directly from school, or from us at 4pm (our normal 1 hour slot). You may be able to extend your child's time with us if we have space at the normal cost, but this isn't always possible. If you would like to guarantee your space even if the club is cancelled, please continue to book from 3pm to the time you would like to pick up.
Late Collections
Late collections will be charged to the closest 10 minute interval, at a cost of £0.70p per 10 minutes lateness, per child - this is to cover the cost of your additional childcare. Excessive regular lateness may also incur an additional charge of £5 per week.
Early Drop-offs
When dropping your child off, please ensure that you are a maximum of 5 minutes early (this does not apply before 7.30am, as our doors will open at exactly 7.30am). Any more than this, and you will be subject to a charge of £0.70p per 10 minutes earliness, per child - this is to cover the cost of your additional childcare.
